Job Description Job Summary:


As Executive Secretary, you are responsible for secretarial and administrative services to the Chief Executive Officer.



1. Specific Duties and Responsibilities:

Organize all incoming documents for the CEOs signature and distribute the same back to the originating department(s).
Arrange the trip of driver(s) in such a way that document transmittal and other errands are delivered on time.
Prepare agenda for meetings and sends out the same to all parties involved.
Takes down minutes of the meeting and distribute the same to all parties involved.
Keep track of all office supplies and make requisition for replenishment.
Receive and screen telephone calls, letters, visitor(s), and furnish information as necessary to ensure availability
Drafts business correspondence, memoranda as directed by the CEO.
Train and supervise other clerical staff in the office.
Meet with individuals, special interest groups, committees on behalf of the CEO.
Ensure that the CEO Office is clean, organized and in good condition.
2. General Responsibilities:

Contribute in creating a high morale and team spirit by maintaining effective relationships with colleagues.
Perform additional duties as directed by your immediate superior/s.
Know all health and safety, fire and emergency procedures.
3. Occasional Responsibilities:


Assist Management Team in any task outlined/detailed by him/her.
Comply with any reasonable request made by management to the best of your ability.
4. Legal Responsibilities:

Ensure that the standards required by Law and by Management are maintained at all times in the areas specified above.
Skills
Work experience as an Executive Assistant, Personal Assistant or similar role
Excellent MS Office knowledge
Outstanding organizational and time management skills
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
Education
Business Administration or any relevant studies
